Practical records. Clear answers.
Camera Equipment Checkout Sheet for Small Crews
A camera equipment checkout sheet records one handoff: the borrower, expected return, identifiable camera and lens, and the accessories that leave with them. Count batteries, chargers and cables before the kit leaves. Keep the outgoing condition beside the item list so the coordinator can compare the actual return with the original handoff, including anything that is still outstanding.

What this record means
A kit list describes what belongs together; a checkout sheet records what actually left with a particular borrower.
Who is this for?
One coordinator managing a shared camera cupboard or gear room for a small video or media team.
What should be recorded?
Use this review checklist before sharing your record.
| Check | Information |
|---|---|
| □ | Handoff ID, borrower and due date |
| □ | Camera, lens and tripod asset IDs |
| □ | Accessory names and quantities |
| □ | Outgoing condition and optional acknowledgment |
Example
Fictional example: Alex takes CAM-01, LENS-01 and TRI-01, with three batteries and one charger. Record the existing scratch on the camera body before checkout. If only two batteries return, keep the third outstanding instead of marking the entire kit returned.
Compare with the independent filled worksheet →Step-by-step workflow
- Count the actual kit at the handoff point.
- Assign one borrower and due date to the handoff.
- Record existing condition before the gear leaves.
- Keep the original entry and reconcile the return against it.

Common mistakes
- A saved kit list is not proof that every listed accessory left.
- Do not overwrite the outgoing condition with the return condition.
Paper, spreadsheet or iPhone?
Paper works at a handover without a device. CSV makes rows easy to sort in Excel, Numbers or Google Sheets, but you must manage revisions and copies. An iPhone app can keep related records together; choose it when its documented workflow fits your needs. None of these formats removes the need to verify the original entry or keep a backup.

Can I use the free sheet without GearProof?
Yes. Print the PDF or use the CSV without an account. The sheet is a separate worksheet, not an App export.
When does GearProof fit this workflow?
When one coordinator uses one main iPhone to record handoffs and check returns. It provides local records, not shared reservations or automatic team sync.
