Practical records. Clear answers.

Camera Kit Return Checklist: Missing Gear & Damage

Check a returned camera kit against the original checkout, not memory. Count the camera, lens, tripod, batteries and charger separately. Record what physically returned and compare its condition with the outgoing notes. Keep missing items outstanding, and record damage separately from quantity: a returned charger can still have an unresolved damage issue.

What this record means

Return reconciliation compares the items and condition that left with the items and condition that actually came back.

Who is this for?

A camera-room coordinator checking kits after a shoot, using a paper sheet, spreadsheet or one primary iPhone.

What should be recorded?

Use this review checklist before sharing your record.

□Original handoff and borrower
□Quantity out, returned and still outstanding
□Outgoing and return condition
□Unresolved issue and next action

Example

Fictional example: three batteries went out and two came back. One battery stays outstanding. The charger came back with a bent connector: count it as returned, record the condition change and keep the damage issue open. These are two separate exceptions in one handoff.

Step-by-step workflow

  1. Open the original checkout and count each item and accessory.
  2. Record returned quantities before closing the handoff.
  3. Describe condition changes; add photos when useful.
  4. Leave missing items outstanding and track unresolved damage separately.

Common mistakes

  • A bag arriving back does not mean every accessory is inside.
  • Do not count a missing item as physically returned.
  • A damage note records an observation; it does not determine liability.

Paper, spreadsheet or iPhone?

Paper works at a handover without a device. CSV makes rows easy to sort in Excel, Numbers or Google Sheets, but you must manage revisions and copies. An iPhone app can keep related records together; choose it when its documented workflow fits your needs. None of these formats removes the need to verify the original entry or keep a backup.

Frequently asked questions

Can I complete a partial return?

Yes. Record the items physically received and keep the rest outstanding against the same original handoff.

Is this checklist a rental contract?

No. It records counts and condition observations. Rental payments, deposits and agreements are separate.
