How to Document Extra Work on a Construction Job

Document extra work by separating the original scope from the additional task, recording who requested it, when it happened and what was actually done. Keep labor, materials, equipment and supporting photos under one job reference. Record unresolved questions explicitly and share the record promptly. A work ticket helps organize facts; it is not a substitute for the project’s approval or contract process.

What this record means

Extra-work documentation is a dated account of a scope difference and its execution, rather than a vague note that a crew did more work.

Who is this for?

Site supervisors and crews handling a requested change or unexpected task.

What should be recorded?

Use this review checklist before sharing your record.

Record review checklist
CheckInformation
□Original scope vs additional task
□Requester, date and job reference
□Actual inputs and evidence
□Open questions and follow-up owner

Example

Illustrative entry: the original task covered one wall; a second wall was requested later. Record the second wall separately, reference the request, attach the relevant photos and note that commercial approval is still pending.

Step-by-step workflow

  1. Write the scope difference and request reference before work details are forgotten.
  2. Record actual work and resources without assuming that a request is commercial approval.
  3. Share a dated copy and list any unresolved approval questions.

Common mistakes

  • Mixing base work and extra work obscures the change.
  • Photos without a job reference are difficult to match later.

Paper, spreadsheet or iPhone?

Paper works at a handover without a device. CSV makes rows easy to sort in Excel, Numbers or Google Sheets, but you must manage revisions and copies. An iPhone app can keep related records together; choose it when its documented workflow fits your needs. None of these formats removes the need to verify the original entry or keep a backup.

Frequently asked questions

What if approval is pending?

Record that status explicitly and follow the project process; do not describe the work as approved.

Can I record a correction later?

Keep the original and add a dated correction that identifies what changed.
