Practical records. Clear answers.
What Should Be Included in a T&M Ticket?
Include the job identity, date, work description, labor entries, material quantities, equipment usage, notes and a clearly scoped acknowledgment in a T&M ticket. Every number needs a unit, and each entry should identify what it belongs to. Keep factual records separate from estimated costs or unresolved rates. Use a final review checklist so missing names, dates and quantities are caught before the record is shared.

What this record means
A complete ticket lets another person trace the recorded work and understand each quantity without relying on the author’s memory.
Who is this for?
Anyone reviewing a ticket before acknowledgment, export or invoice preparation.
What should be recorded?
Use this review checklist before sharing your record.
| Check | Information |
|---|---|
| □ | Labor: worker, date, hours and rate status |
| □ | Materials: item, quantity and unit |
| □ | Equipment: item, duration and unit |
| □ | Acknowledgment: scope, name, role and date |
Example
Illustrative check: “6” in a material row is incomplete. “6 pieces, replacement trim” identifies both the quantity and the item. If the rate is undecided, mark it as pending instead of entering zero.
Step-by-step workflow
- Check the header against the job reference and work date.
- Read every resource row and confirm its item, quantity, unit and rate status.
- Check signer details and state exactly what the acknowledgment covers.
Common mistakes
- Blank and zero are not interchangeable.
- An estimated amount should not be labeled as an actual quantity.
Paper, spreadsheet or iPhone?
Paper works at a handover without a device. CSV makes rows easy to sort in Excel, Numbers or Google Sheets, but you must manage revisions and copies. An iPhone app can keep related records together; choose it when its documented workflow fits your needs. None of these formats removes the need to verify the original entry or keep a backup.

No. Mark unused sections as not used so they cannot be mistaken for omissions.
Where should photos go?
